Job Description Full time Senior Bookkeeper position available. This position will be assigned to the Jupiter office. Responsible for general administrative duties, accounts receivable, accounts payable and general ledger for all assigned properties as well as day to day accounting. Prepare accurate and timely monthly financial statements for assigned properties and associations within the limits of established policies. Duties & Responsibilities Prepare invoices and check printing for board member approval & signature. Coordinate invoice approvals with Property Managers. Coordinate scheduling of various audits, taxes, annual reports, legal collections, bankruptcy, etc Work with vendors and Property Managers to obtain W-9 and insurance liability certificates for all vendors prior to payment release. Post payments from bank lockbox to owner accounts, process all incoming owner payments. Process all incoming checks to owner accounts and deposit into the association bank account. Work with banking institutions to establish and/or maintain association bank accounts. Responsible for posting assessments, fines and miscellaneous checks to homeowners accounts Prepare Balance Sheet reconciliations and supporting schedules. Analyze the Balance Sheet and Income Statement accounts for accuracy. Monitor and reconcile bank accounts. Assist both internal and external clients with questions or problems associated with vendors, statements, payments, invoices, checks, reserve transfers, and cash balances. Prepare and post journal entries to the General Ledger. Review periodic reports of general ledger accounts to ensure accuracy and correct errors prior to close of accounting period. Identify, investigate, resolve and/or report on discrepancies with vendors and clients. Assess late charges and/or late interest. Research, identify, and analyze discrepancies. Prepare and/or order annual, semi-annual, quarterly and monthly billing statements to homeowners or vendors. Prepare, monitor, file and pay state and/or federal taxes as directed/needed for each association and ensure all quarterly tax estimates are paid timely. Set up enrollment for EFTPS tax payments Monitor reserve funding for timeliness and accuracy. Prepare the Monthly Financial Statement package and submit for review to management prior to release to the Board of Directors. Prepare additional financial reports requested by the Client or Property Manager to be included in the Financial Package or provided to the Property Manager and/or BOD. Input updates to accounting system: revised chart of accounts, financial statement formatting, job streams, reporting codes, GL notes, accounting periods, set-up new entities, bank accounts, etc Assist independent CPA audit firm in their audit and review of associations on a year-end, turnover, and/or periodic audit/review. Analyze and posts end-of-year audit adjusting entries. Prepare annual excel budget worksheets as needed for clients. Provide assistance and guidance to Property Management by answering questions regarding monthly Financial Statements and other related matters. May provide guidance, direction and input to lower level staff. Operate within GAAP and Coastal Property Management Accounting guidelines Filing of A/P, A/R and other accounting documentation. Responsible for processing and sorting through daily mail. Assisting Management and Controller as needed. Assist and support other accounting and/or administrative duties as assigned or as needed. Education & Experience Intermediate to Advanced MS Excel skills Intermediate MS Word skills Excellent accuracy and attention to detail Organized and excellent multitasking skills High volume data entry experience required Excellent verbal and written communication skills Positive attitude and team player a must Strong knowledge of both Cash and Accrual accounting. Knowledge of Tops Property Management Software preferred but not required. Bachelor's degree (B.A. or B.S.) in Accounting, Finance, or Business from a four-year college or university is preferred or equivalent combination of education and experience. Minimum of two years of experience required. Property Management industry experienced preferred but not required.
