Job Description:

POSITION SUMMARYThis position is responsible for general office administration, finance, and data entry and maintenance.REPORTING RELATIONSHIPSPosition Reports to: Chief Operating Officer and HHsf Board of DirectorsPositions Supervised: Office Administration Volunteers and Interns DUTIES AND RESPONSIBILITIESFinance:

Performs all general ledger accounting functions using QuickBooks including processing receipts, disbursements, journal entries, budgets, trial balance, balance sheet, and profit and loss statements Ensures month-end general ledger reconciliations are performed in a timely mannerPrepares and distributes monthly year-to-date comparable balance sheet and profit and loss statements to the HHsf Board of Directors.Assists in the development of annual operating and capital development budgetsPrepares checksProcesses payrollPrepares and coordinates bank depositsReconciles bank accountsCategorizes and maintains financial information and budgets for grants and fundraisingProcesses year end W-2 and 1099 income tax statementsPrepares and distributes timely annual donor contribution statementsCoordinates year-end annual audit and preparation of Form 990 tax returnDevelops and maintains interface between QuickBooks and Network for Good software packagesDocuments and assures internal controls are in place and being adhered toData Entry and Maintenance:
Inputs and maintains data in Network for GoodAssures data base is continuously updated with accurate informationAssists Chief Operations Officer and PR/Capital Development Manager to develop data field structure supporting data extractionGeneral Office Administration:
Answers and directs phone calls to relevant staffRetrieves mail from the P.O. BoxOpens and distributes mailRetrieves and forwards incoming correspondence received from general Hannah's Home email boxAssists in the annual review and renewal of HHsf commercial, property insurance and employee health benefit policiesProcesses and maintains office files and contracts filing system and recordsProcesses and maintains employee benefit packagesProcesses and maintains employee and volunteer filesOrders and maintains stock of office suppliesAssists with event planning activitiesAssists with mailingsAssists with campaignsAnalyzes and suggests ways to improve office administration and finance proceduresQUALIFICATIONS AND EXPERIENCEEducation, Experience and Licenses:
Associates degree in accounting or equivalent training 2 years' experience in general office administration and financeValid driver's licenseNonprofit managementNecessary Knowledge, Skills, & Abilities:
Proficient with QuickBooks, MS Word, and MS Excel Experienced with creation and maintenance of databasesBasic understanding of fundraising and grant procurementBasic experience with Network for Good or equivalent donor software programWORK ENVIRONMENT
