After adding on another veterinarian we seek to find an experienced CSR to augment our team's dedication to prompt and excellent customer service.

Summary

Being a CSR in a veterinary office takes a special kind of person who is able to deal with both humans and animals alike. As a CSR your primary responsibility is to be efficient in any and all front desk operations. You are the client's first and last impression of our hospital and it is important that all clients feel welcome, safe and comfortable. A CSR must have great communication skills and be friendly and outgoing to every person who comes in the door. The ability to prioritize and multi-task is essential. It is imperative that a CSR is alert to the happenings within the hospital and be able to problem solve with minimal guidance. You represent the entire hospital and hold a critical position within our company.

Required Skills And Qualifications

There must be a general understanding of veterinary terminology, situational understanding and being able to successfully communicate these situations with clients and veterinary team. One specific duty of the CSR is to be able to determine the difference between an emergency and a routine office visit. Since you are the main means of communication between the medical staff and the clients, it is your job to communicate to the vet or vet techs any emergencies that call the office or walk through the door. Additional daily tasks involve keeping the waiting area clean and well organized, locking up at the end of the day, calling to confirm appointments and collecting and sending mail.

Wellness Plans, General information of medications and prescription foods, etc.
Client counseling with the loss of a pet and stressful situation
Schedule/confirm appointments
Referral and General
General medication knowledge and ability to explain medication and administration instructions
Efficient record keeping
Proficient in all front desk equipment
Printer/Copy/Fax
Credit Card machines
Pitney Bowes
Phone system
Care Credit
Ensure payment upon service, take deposits
Track appointments - following up with no shows or cancellations
Handle emergency situations within reception responsibilities
Maintain stock of referral forms, doctor brochures & business cards
Compose complete messages & communicate with veterinarians and other staff
Maintain flow of information: lab work, messages, ect in a timely and understandable way
Follow through on correspondences and cases given to Doctors
Answer phones & placement of calls, monitor on hold times
Data Entry: records, client questionnaires, referral information, ect
Distribute mail
Ensure that referral letters and lab results go to the corresponding veterinarians
Admit patients: ensuring that the patient is weighed and all information is current.
Ability to work under stress
Display sound judgment
Ability to restrain/lift at least 50 lbs
Clean and organize the front desk area
Perform opening and closing procedures, end of day reports and deposits
Perform other various duties as assigned
